New Phone System FAQ's

Q: When will we know more about the vendor selected and the available phone models?

A: Vendor selection will take place this coming August, and we will have phones available for display soon thereafter.

Q: What will the new phones look like?

A: At this time we do not know which vendor's product will be selected for the campus. However, when the vendor solution is determined, offices will have an option to select the appropriate phone device that meets their needs and budget.

Q: What are the new features on the phones?

A: Some of the new features that will be available for most phones are: Display with Caller ID for calls originating both on and off campus, speaker phone, improved conferencing, music on hold, and multi-way calling.

Q: Why is Voice over IP (VoIP) being used instead of a digital system?

A: Almost all development within the telecom industry is transitioning to a VoIP type system. The installation of a VoIP system will not only maximize the working life of the system, it will also benefit in future development as new applications become available. For example, use of enhanced audio and video capabilities, as well as ability to make phones more mobile. VoIP also has a lower total cost of ownership.

Q: Will my computer workstation be plugged into the phone?

A: Yes, workstations will have their data connections plugged into phones where possible (not possible in all locations).

Q: Can I buy a new VoIP phone instead of having a monthly device charge?

A: No, the new phones are essentially specialized computers and require periodic upgrades and refreshment. The monthly charge assures the phones will be updated and/or replaced as needed to maintain a high quality of service.

Q: I paid for a new phone last year to replace a broken one, why do I have to pay for a new phone now?

A: The Fujitsu phones currently in use are not compatible with the new telephone system. The proposed charge for phones vary from 55 cents per month for a low end phone with limited capabilities, to $6.07 per month for a high end model suitable for conferencing or managing several departmental lines (Please see New Rates FAQs).

Q: Do I have to get my new phone from ITS?

A: Yes, ITS will go through a rigorous testing process to assure each phone is fully compatible with centrally supported features. Industry data shows the introduction of non-standard phone devices significantly increase costs, so ITS is standardizing on just a few phone models.


Q: Will the voice mail system change?

A: Yes, The new voice mail system although similar to our existing voice mail system, will have some differences. For example, the new system will allow us in the future to offer additional services, such as unified messaging.

Q: What will happen with my saved voice mail messages?

A: The voice messages on the previous voice mail system will be retained for a period of time, and can be accessed through calling the old system.

Q: I hear that with the new phone system I will be able to listen to my voice mail messages on my computer. Is that true?

A: Yes, this is one of the benefits of having a new voice mail system. However, this new feature (unified messaging) may not be available immediately but hopefully will be integrated in early 2009.
